Editorial process
The editorial process of Revista Ean consists of the following phases:
Nomination and evaluation phase
- The editorial team of the Revista Ean receives the manuscripts submitted through the portal web of scientific journals and registers them in the journal editorial tracking matrix. Then, The authors are notified via the scientific journals web portal or e-mail about the reception of the article for their participation in the editorial process. Subsequently, the editor then conducts a preliminary review, where he personally reviews the manuscripts or defines a review methodology (depending on the number of articles submitted) to verify their typology, compliance with the guidelines for submission of articles and compliance with the thematic focus. Based on its review, it may or may not request a concept from the editorial committee, in order to select those articles that are sent to a second evaluation filter. The concept regarding each article is recorded in the editorial tracking matrix. All authors are notified of the results of this evaluation phase the scientific journals web portal or e-mail, and for those articles that continue to the second evaluation phase, adjustments may or may not be requested prior to sending them to peer reviewers.
- According to the selection of articles made in the first review filter, the process of external peer review is managed. The follow-up of this process and its results are recorded in the editorial tracking matrix. The evaluation is recorded in the Peer evaluation form, which is sent to the peers together with the text, the general indications for completion and the notification of the deadlines established for the respective evaluation. Finally, all authors are notified, by e-mail or by the scientific journals web portal, of the results of this process and, if necessary, the execution of the adjustments suggested by the peer reviewers is requested.
- In case adjustments have been requested, their execution is verified by the peer reviewer in a second review of the text, in which he/she must deliver a positive concept, for the article to be considered for publication. Once the article has been approved for publication, the authors are notified by e-mail or by the scientific journals web portal platform and are asked to fill out the individual Authorization for publication form of journal articles in favor of Universidad Ean, after which the process of editing and publication of the article is processed.
Editing and publication phase
- The editorial assistant sends the material to the proofreader via e-mail or the scientific journals web portal platform, who reviews and adjusts the text of the article in terms of spelling, orthotypography, syntax, grammar and style, as well as verifying and adjusting the bibliographic references in the body of the text and in the list of references, in accordance with the journal's policies. He/she must make the corresponding modifications and leave evidence of them through the Microsoft Word® change control tool. Once the proofreader delivers the revised version of the article, the editorial assistant proceeds to review it and sends the file with the correction to the author so that he/she can approve the adjustments made and respond to the comments made by the proofreader. Once the correction has been approved and the adjustments have been reviewed, the author sends the text to the editorial assistant, who will send the document back to the proofreader to clean it up and make it ready for design. In the event that language revision is required (this activity is only carried out with articles whose original language is mainly English, French or Portuguese). For this task, the editorial assistant manages the review process, through which the reviewer adjusts the article in terms of spelling, orthotypography, syntax, grammar and style according to the corresponding language. The reviewer must make the corresponding modifications and leave evidence of them through the Microsotf Word® change control tool. Once the reviewer delivers the revised version of the article, the editorial assistant proceeds to review it and verify if there are any adjustments that should be requested to the authors; if there are such changes, they are compiled in a separate Word file, which is sent to the authors by e-mail together with the request for the adjustments to be made. When the authors submit the adjustments, the editorial assistant proceeds to incorporate them into the revised text and thus completes this task with the final version of the article content. The editorial assistant manages the translation of the title, abstract and keywords of the article from Spanish into English, French and Portuguese.
- Once the final version of the content of the article and the sections of title, abstract and keywords are translated, the editorial assistant proceeds to make the assembly in Word of the article, incorporating the data of the authors (names, affiliations, e-mail, ORCID code) and the specific data of the journal and the edition (name of the journal, ISSN, volume, number and year), and converts it into PDF, thus leaving the online first version of the article. Then, the editorial assistant requests the Hidelbrando Perico Afanador Library to publish the PDF online first version, together with its respective DOI, in the Open Journal System portal of institutional scientific journals.
- Once all the articles in the issue are completed, the editorial assistant performs the final design work, who distributes the text of the articles in accordance with the style criteria established for the journal. Likewise, the cover page proposal for the issue is requested; however, if necessary, this proposal may be requested earlier. When the editorial assistant delivers the layout version of the journal, he and the respective authors proceed to review it and, by means of comments on the PDF, record the adjustments to be made. The editorial assistant makes the requested corrections and sends the adjusted version of the PDF for final approval.
- Once the final version of the articles has been approved for publication, the editorial assistant requests the Library to replace the first online versions of the articles in the scientific journals web portal with the final PDF versions, and the authors are notified of the final status of the process.
